Count the people who will use it.
List representatives, clinicians, assistants, administrators and reception staff separately. Some systems size plans by total users and others by specific work roles. Counting only three representatives can hide capacity requirements for the rest of the team.
Separate monthly payment from annual equivalents.
An annual subscription’s monthly equivalent does not mean you pay that amount each month. Review the annual total, upfront commitment and renewal price separately. For different currencies, use an explicit exchange-rate assumption rather than an automatic savings percentage.
Capacity is not feature equivalence.
Two plans supporting the same number of people may offer different calling, messaging, storage and reporting scope. List the workflows you need and check whether each is included, an add-on or supplied by a separate provider account.
Put usage costs on separate lines.
Calling minutes, SMS, official messaging providers, advertising spend and AI may be charged outside the subscription. AI action counts alone are not enough: model choice, input length and cost multipliers can affect the result. Budget against actual usage measurements.
Validate the quote against a team scenario.
Enter total users, representative count, billing period and required channels. Keep a verification date for public prices. Request a quote when limits are exceeded and never treat an unknown fee as zero. Make the final decision from a commercial quote with explicit scope.
